This guide explains how to manage an email account in the Loopia email administration panel (mailadmin) — how to log in, change your password, set up an auto-reply, and configure spam and virus filtering.
How to log in to the email administration panel
There are two ways to reach the email administration panel, depending on whether you want to manage a single address or every address on a web hosting account.
To manage a single email address, log in directly with that email address and its password at https://www.loopia.com/mailadmin/. You land in the administration panel for that specific address.
To manage all email addresses in a web hosting account, log in to the Loopia customer zone with your usual customer credentials, then click the email address you want to edit. This gives you access to every address on the account from one place.
Change your email password
To change the password for an email account, click the “Edit” button next to “Password” in the administration panel and enter a new password. Loopia enforces password rules to protect your inbox from unauthorised access — see the criteria below.
Email password requirements
A weak password is a security risk, so the password you choose for the Loopia customer zone and email accounts must meet all of the following criteria:
- At least eight (8) characters long.
- Contains at least five (5) unique characters.
- No excessive repetition of the same character.
- No spaces or other whitespace characters.
- Not a personal identification number of any kind (for example, a national ID number, social security number, or personnummer).
- Not a common word.
- Not vulnerable to dictionary attacks — avoid words spelled backwards, capitalised variants, plurals, and similar simple transformations.
Set up an auto-reply (out-of-office message)
Use an auto-reply when you want anyone who emails you to receive an automatic response — for example, during a holiday or outside office hours.
In the administration panel, click “Auto response”, tick “Active auto-reply”, and enter a subject line and a short message. Each sender receives the auto-reply only once per day, so frequent contacts don’t get spammed with repeated replies.
Spam filter (antispam)
A large share of all email traffic is junk mail (spam). To keep it out of your inbox, every message arriving at Loopia’s servers passes through our spam filter, which analyses the message and assigns it a score.
The spam filter is on by default for newly created accounts. You can adjust the sensitivity under “Antispam” in the administration panel. Filtered messages are moved directly into the “Spam” folder that exists inside every email account.
Each part of the message is scored according to this SpamAssassin rule list. If the total score exceeds the configured limit, the message is treated as spam.
The default limit is 6 points. You can make the filter stricter (lower number) or more lenient (higher number) by dragging the slider. Hover the question mark on the right to see the current limit for your address.
Allow lists and block lists
If wanted senders are being caught by the filter, or unwanted senders slip through, add their addresses to the allow list (whitelist) or block list (blacklist). You can enter:
- A full address — for example, spam@example.com
- An address pattern — for example, @example.com to match every sender from that domain
Click “Add” to save the rule. Existing rules are listed just below the input box and can be removed at any time.
Virus filter (antivirus)
Loopia’s antivirus filter scans every incoming email for virus-infected files and quarantines anything it detects. For your security, leave this filter on at all times.
